AIdedEQ and The Practice Center ("we," "us," or "our") believe transparency is a practice, not a checkbox. This policy describes what information we collect through our website at aidedeq.org and related tools, how we use it, who we share it with, and how we protect it.

What We Collect

We collect information you choose to provide and limited information needed to operate and improve the site:

• Contact, newsletter, assessment, waitlist, and feedback submissions — Your name, email address, organization, area of interest, assessment result, and any message or feedback you choose to share.
• Founder conversation bookings — Your contact details, organization, role, reason for meeting, selected appointment time, and any message you include. We use this information to create and manage the appointment in our customer relationship and calendar systems.
• Roo chat conversations — The messages you send to Roo, Roo's replies, the page where the conversation began, and a random conversation identifier with a signed access token stored in your browser. If you book through Roo, we also store the name, email address, and organization you provide. Chat history is stored in our database so Roo can maintain the conversation and so our authorized team can operate and improve the service.
• Tester information — If you join the Help Us Be Better testing program, we may collect your email address, sign-in activity, consent choices, app feedback, reflections, ratings, and related testing activity.
• Basic analytics — We use Google Analytics 4 to understand how visitors use our site (pages visited, general location by country/region, device type). Google Analytics 4 does not log or store IP addresses, and we have advertising features and data sharing for ads turned off. We use this data in aggregate to improve the site, not to identify individuals.
• Cookies and local browser storage — We use essential browser storage and analytics cookies to operate features, remember a Roo conversation identifier, maintain tester sign-in, and count visits. We do not use advertising cookies or third-party behavioral tracking.

What We Do NOT Collect

• We do not sell, rent, or trade your personal information. Ever.
• We do not use third-party advertising networks.
• We do not build behavioral profiles or track you across other websites.
• We do not ask you to submit confidential client records, protected health information, financial account information, passwords, or other highly sensitive personal information through Roo, feedback forms, or general contact forms. Please do not include that information in a message.

How We Use Your Information

• To respond to you — When you submit a contact form, we use your information to reply to your inquiry.
• To operate Roo — We use your message and recent conversation history to generate a relevant response, preserve conversational context, help with booking when requested, monitor reliability, and improve the assistant.
• To manage appointments — We use booking information to check availability, create calendar events, maintain customer relationship records, send appointment information, and process cancellations.
• To run the tester program — We use tester sign-in information, consent choices, ratings, and reflections to manage access and improve the tools being tested.
• To send updates you requested — If you join a waitlist or express interest in a tool or program, we may send relevant updates. You can opt out at any time by emailing us.
• To improve our tools — Aggregate, anonymized analytics help us understand which tools and resources people find most useful.

Who We Share Information With

We share your information only with the services necessary to operate this website:

• Netlify — Hosts our website and processes form submissions. Netlify's Privacy Policy
• Anthropic — Processes Roo chat messages and recent conversation context through its commercial API to generate Roo's replies. Anthropic states that commercial API inputs and outputs are not used to train its models by default and are ordinarily deleted from its systems within 30 days, subject to its terms, safety and legal exceptions, or a different data-retention agreement. • Supabase — Stores Roo conversations, tester accounts and activity, feedback, and operational records used to provide these services. Supabase's Privacy Policy
• Google Workspace — Processes appointment availability, calendar events, and related booking information when you request a founder conversation. Google's Privacy Policy
• Google Analytics — Provides aggregate site analytics as described above. Google's Privacy Policy
• Google Fonts — Provides the typefaces used on this site. Google may collect basic connection data (IP address) when fonts are loaded. Google's Privacy Policy

We do not share your information with data brokers, advertisers, or any other third parties.

AI Chat and Retention

Roo is an AI assistant, not a person. When you send Roo a message, AIdedEQ stores the conversation in its Supabase database and sends the current message plus limited recent conversation history to Anthropic's API so the model can generate a reply. Anthropic's temporary API processing is separate from the copy stored by AIdedEQ.

We retain information for as long as reasonably necessary to operate the service, respond to requests, maintain appropriate business and program records, protect the site, and meet legal obligations. The site does not currently offer an automatic self-service control for deleting Roo history. You may ask us to access or delete information associated with you by emailing [email protected].

Do not send Roo confidential client information, protected health information, passwords, payment-card information, or details needed for an emergency response. Roo is not emergency, medical, legal, or crisis support.

How We Protect Your Information

• Our site is served over HTTPS (encrypted connection) at all times.
• Form submissions are processed through Netlify's secure infrastructure with encrypted data handling.
• We limit access to personal data to authorized team members who need it to respond to inquiries.
• We regularly review our practices and update them as needed.

Our Tools

Some tools linked from this site (such as anchorED, WellBEing Snapshot, LoreDrop, and others) are hosted on separate platforms and may have their own data practices. When you leave aidedeq.org to use an external tool, that tool's own privacy policy applies. We encourage you to review the privacy practices of any tool before entering personal information.

Children's Privacy

Our website is not directed at children under 13. We do not knowingly collect personal information from children. Our youth-serving programs have separate, age-appropriate data practices with appropriate parental/guardian consent.

Your Rights

You have the right to:

• Access — Request a copy of any personal information we hold about you.
• Correct — Ask us to update or correct inaccurate information.
• Delete — Ask us to delete your personal information.
• Opt out — Unsubscribe from any communications at any time.

We may update this policy as our tools and practices evolve. When we make changes, we'll update the "Last updated" date at the top. For significant changes, we'll note them here.
