Try this today: the grant-report auto-draft
Pick a grant report you already wrote last quarter. Open Claude or ChatGPT and build a Project (Claude) or Custom GPT (ChatGPT). Upload the old report, your logic model, and 3-5 funder requirements as reference files. Then write one instruction: "When I paste new program data, draft a funder-ready update in this exact voice and structure." That is it. Next quarter, paste the data, get a 70% draft in 30 seconds. That is the chat-to-automation bridge.
Why this matters (and why it is different from last year)
In 2025-2026, the major AI tools shipped persistent memory, file context, and agentic actions (the AI can now take steps, not just respond). You no longer need to be technical to build a working tool. You need to be clear about the outcome.
Free tools worth starting with (ranked by time-to-value)
- Claude Projects: upload reference files once, chat against them forever. Best for writing-heavy nonprofits.
- ChatGPT Custom GPTs: same idea, plus you can share a private GPT with your team.
- Google NotebookLM: turn a folder of PDFs, meeting notes, and policies into a searchable brain for your staff. Free.
- Lovable: describe an app in plain English, get a working web app with a database. Good for intake forms, dashboards, lightweight CRMs.
- Make.com: connect the tools you already use (Gmail, Airtable, Google Drive) and have AI trigger real actions. Free tier is generous.
The 4-step starter loop (do this once, reuse forever)
- Pick one repeating task. Something you do every week or month. Intake notes, meeting summaries, grant updates, volunteer onboarding.
- Gather 3-5 real examples. Past outputs in your actual voice. This is your training data.
- Build a Project / Custom GPT / NotebookLM notebook. Upload the examples + any policies or templates the AI should follow.
- Write one instruction sentence that says what you want the AI to do when you come back. Test it on a new input. Refine the instruction, not the examples.
High-value starter use cases for nonprofit teams
- Grant report first drafts from program data
- Board-meeting minutes from a Zoom transcript
- Plain-language translations of policies for families
- Weekly fundraising email from your CRM export
- Intake summaries that flag urgency for case managers
- Volunteer onboarding FAQs answered from your handbook
